Standard Diesel is a highly regarded, locally owned and operated repair shop for light duty diesel trucks and cars. We are currently accepting applications for a Service Writer/Service Advisor position in our Gardnerville shop. In this position you will perform duties and have responsibilities crucial for the smooth and efficient operation of the business and the ability to maintain our high reputation with our customer base.
Responsibilities:
1. Customer Service
Schedule service appointments to meet customer calendar needs in the context of the type of work needed and shop availability.
Greet customers, assess their service needs and document them on work orders in a manner that is maximally informative for service technicians.
Keep customers informed of the progress of their repairs as appropriate whether by responding to incoming calls, or by proactively calling with updates.
Maintain communications with customers by answering phones and promptly returning phone calls.
Advise customers on available accessories, upgrades, and maintenance recommendations.
2. Documentation and Record Keeping
Inspect and receive vehicles at initial intake.
Prepares electronic repair orders (RO) by entering into shop management software the problems and symptoms described by customers and/or basic maintenance requests, obtaining approval signatures, proactively ordering parts for the RO when appropriate.
Monitoring and/or updating information provided by technicians and ensuring the correct status of the RO is maintained throughout the lifecycle of the job from initial intake to completion and delivery to customer.
Generate invoices, receive payments, and answer any customer questions at the time of vehicle delivery to customer. and maintain transparency in service pricing.
3. Technical Communication:
Act as a liaison between customers and service technicians, conveying customer concerns and service requirements.
Ascertains vehicle problems and services by listening to customer's description of symptoms; clarifying description of problems; conducting inspections; checking vehicle maintenance records; examining service schedules.
Translate technical jargon into easily understandable terms for customers.
Provide basic technical assistance to customers when required.
Coordinate with service technicians to ensure efficient workflow and timely completion of service orders.
Ensure parts and required supplies are promptly and accurately procured for jobs in progress.
Receive parts for specific ROs, update job status in shop management software, and deliver parts to appropriate locations in the shop.
Manage parts returns and related documentation.
3. Inventory Management
Monitor and maintain basic inventory of stocked parts and supplies.
Receive and store incoming inventory parts and supplies.
Update and maintain inventory count in shop management software.
Order parts and supplies as needed to maintain inventory.
Requirements:
Familiarity with basic automotive operation and parts.
Ability to operate a computer and learn new software.
Ability to effectively communicate with customers, coworkers, and technicians.
Ability to learn about diesel operations, parts, and applications to various makes and models of light duty trucks and cars.
Ability to follow established policies and procedures.
Ability to multi-task, effectively prioritize jobs, and operate in what is often a fast paced environment.
Ability to sit for extended periods of time.
Ability to lift up to 50 pounds if needed.
Working Conditions
Primarily an air conditioned/heated office environment.
Regular exposure to a shop environment with potential physical hazards.
This is a full-time job with required hours from 8:00 am to 5:00 pm, Monday through Friday.
This is an on-site position. Remote work conditions cannot be accommodated for this position.
